Administrative Assistant - Haemodialysis (Manhester, Jamaica) - Mandeville Regional Hospital (SRHA)

The Southern Regional Health Authority (SRHA), a Statutory Body under the Ministry of Health & Wellness responsible for the management and operation of Public Health Services within the Parishes of Clarendon, Manchester and St. Elizabeth, invites applications from suitably qualified persons for the following position at the Mandeville Regional Hospital: Administrative Assistant - Haemodialysis (GMG/AM 2) - 1 Position (Salary range $1,711,606 - $2,301,186 per annum plus any allowance (s) attached to the post).

Job Summary
Under the supervision of the Ward/Nurse Manager the Administrative Assistant will contribute to the efficiency and effectiveness of the Haemodialysis Unit by being responsible for document management, customer service, administrative and secretarial/clerical support and event planning.

Qualification and Experience
  • Certified Professional Secretary/Certificate in Administration Management Level 2
  • Diploma in Management Studies/Business Administration (would be an asset)
  • A minimum of three (3) years’ office experience or as an Administrative Assistant

Key Responsibilities will include:
  • Receiving, reviewing and dispatching incoming and outgoing documents.
  • Creating a comprehensive filing system and file maintenance.
  • Updating Project documents.
  • Updating Sponsor agency documents.
  • Updating Project consultant documents.
  • Updating Parish project proposal, etc.
  • Updating the file registry logbook.
  • Preparing correspondences and other documents as directed.
  • Recording, transcribing and distributing minutes as required.
  • Maintaining miscellaneous records for department (e.g. correspondences, minutes of meetings, agendas etc.)
  • Updating Caribbean renal registry & fistula database.
  • Preparing & submitting monthly, quarterly and annual statistics.
  • Preparing & submitting monthly, quarterly and annual reports.
  • Accepting, screening and routing telephone calls.
  • Performing accurate message recording and delivery.
  • Answering routine inquiries concerning department operations.
  • Assisting in project and/or product research.
  • Resolving routine administrative problems.
  • Informing clients of dialysis appointments.
  • Maintaining accurate schedule of meetings (internal & external), appointments, etc. and circulate reminders.
  • Arranging timely activities within Unit.
  • Planning events hosted by division/section.
  • Ordering stationery for department.

SPECIAL CONDITIONS ASSOCIATED WITH THE JOB
  • Normal office environment
  • Required to work outside normal working hours to meet critical deadlines as the need arises.
