Health Records Clerk (Clarendon Jamaica) - Clarendon Health Department (SRHA)

Job Summary:
Under the supervision of the Health Records Technician and the technical supervision of the
Parish Health Records Administrator, the incumbent will have the responsibility of
organizing, implementing, controlling and maintaining the patient information system for the
provision of optimum patient care.

Qualifications and Experience:

  • Four (4) ‘O’ Level/CXC subjects; including passes in English Language, Mathematics & Biology
  • Clerical and/or computer experience is an asset

Specific Knowledge and Required Skills:
  • Good knowledge of the methods, procedures, practices, rules and regulations related of health data collection
  • Good knowledge of Computer Applications
  • Ability to analyse statistical reports and make recommendations
  • Good interpersonal communication skills
  • Good conflict resolution skills
  • Excellent time management skills
  • Excellent customer service skills
Key responsibilities include:
  • Protecting the security of the health records to ensure confidentiality is maintained.
  • Developing and maintaining efficient and accurate filing and retrieval of health records.
  • Tracking and follow-up missing records.
  • Reviewing records for completeness, accuracy and compliance with regulations.
  • Filing laboratory/ other investigation reports and referral forms in patient/client health record.
  • Developing and ensuring that the standardized numerical filing system of health record.
  • Maintaining the master patient index files.
  • Compiling and submitting Monthly Clinic Summary Reports, Sentinel, STD Syndrome and other reports.
  • Maintaining the appointment system for the various clinics held. Maintaining the Primary
  • Health Care Register for the health records department manually and electronically
  • Educating other members of the health team on the importance of health records, with clear definition of health records duties.
  • Assisting with the smooth running of the clinics; directing patients, developing a system whereby the records are transferred from the filing area to the clinic area.
  • Responsible for the acquisition and monitoring of health records stationery/equipment.
  • Completing the list for the PATH programme.
  • Collecting and compiling of data for clinical activities done are to be recorded daily on the specific tally sheets.
  • Retrieving health records to facilitate researches by authorized users/personnel.

  • Working on weekends when necessary

Qualifications & Experience:

Job Summary:

  • Preparing for the clinic by ensuring that all health records for patients to attend on a particular date be retrieved before the date of the clinic.
  • Ensuring that out guides are placed in the file for each record retrieved.
  • Filing laboratory and x-ray results in the appropriate health records and adds continuation sheets to records if needed the day before clinic.
  • Ensuring that all the health records needed for the clinic are found before the day of the clinic.
  • Completing an inventory for all the records retrieved for the clinic and places a check mark beside the records that are found.
  • Preparing numbers to be issued to patients on arrival at the clinic so as to maintain order in the waiting area.

Job Summary

To provide frontline service at the health centre in accordance with established standards. This position provides a medium through which relations between internal and external clients are realized in keeping with service level agreement and the Government of Jamaica Citizens Charter. It is also responsible for collecting and providing client related information and providing direct assistance to clients accordance with established standards.

Qualifications & Experience:
  • Four (4) GCE O’ Level/CXC subjects inclusive of English Language and Mathematics
  • Training in Customer Service and Emotional Intelligence
Required Knowledge, Skills and Competencies:
  • Working knowledge of public health centre systems and practices
  • Excellent knowledge of customer service principles and guidelines & Customer Charter
  • Ability to develop and maintain positive and cooperative working relationships

Key Responsibilities will include:
  • Greeting and interacting with patients/relatives and visitors to the Health Centre.
  • Collecting personal information from client and log onto the prescribed forms and systems.
  • Assigning patient number to client, distribute patient services card and refer to triage nurse for the completion of vital signs.
  • Displaying compassionate support to all patients regardless of their situation
  • Reporting serious challenges to your Supervisor in a timely manner.
  • Referring patients showing signs of deteriorating health and/or excruciating pain to clinical personnel for intervention.
  • Monitoring waiting time of patients in assigned areas and intervene where possible.
  • Keeping patients informed of possible causes of extended waiting hours as directed.
  • Disseminating questionnaires to solicit feedback on the services offered.
  • Influencing customer service interaction by displaying and maintaining professionalism and courtesy to all.
  • Communicating relevant information; provide correct and adequate responses to questions and queries and direct clients to respective service areas in the Hospital.
  • Logging client complaints and refer for the appropriate resolution.
  • Identifying patients with special needs and informs Supervisor accordingly for intervention.
  • Assisting members of staff who need clarification on services and ensure compliance with the regulations.
  • Alerting the security guards to any unusual or suspected unsafe situations that may be observed.
  • Identifying problems within scope of responsibility in the shortest possible time and refer those outside of scope of responsibility to the Supervisor.

Job Summary:

Under the general supervision of the Operations Manager, the successful candidate will be responsible for
supervising the work activities of the Hospital Attendants, to ensure safety and protection of clients, clean

Qualification and Experience
  • School Leaving Certificate (Secondary Education) with on the job training in Housekeeping, Portering and Janitorial Systems
  • Certificate in Supervisory Management would be an asset
  • English Language in GCE O’Level/CXC at the General Proficiency level would be an asset
  • At least one (1) year experience in a supervisory position

Job Summary


The incumbent will be responsible for working cooperatively with families in the community in order to identify health related problems and bring them to health professionals. He/she is directly responsible to the Community Nurse and is expected to work co-operatively with all members of the health team.

Qualifications & Experience:
  • Two (2) ‘O’ Level/CXC subjects; English Language compulsory

Job Summary:
Under the general supervision of the Parish Administrative Officer, the incumbent operates multi-line telephone system to answer incoming calls, directs callers to appropriate personnel; receive, log and distributes incoming mail to the various department; provide information/guidance to clients/visitors.

Qualification and Experience:
  • Minimum five (5) subjects at CXC/GCE O'Level inclusive of English Language.
  • Training in switchboard operating techniques.

Plus
  • A minimum of two (2) years’ experience in PBX operations.
Key Responsibilities:
  • Receives incoming telephone calls, determines purpose of calls, and forward calls to appropriate personnel or department.
  • Place outgoing calls; ensure that a log is kept of all mobile and overseas calls.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
