Records Officer (St. Ann, Jamaica) - NERHA

 

The North-East Regional Health Authority, a statutory body under the Ministry of Health and Wellness, with responsibility for the management and operation of public health services within the parishes of St. Ann, St. Mary, and Portland is seeking a dynamic, proactive and experienced individual to fill the position of
Records Officer 1 at the Regional Office.

Reporting to the Human Resource Officer (Records and Information Management System), the incumbent is responsible for the creation and maintenance of personnel records for an efficient and effective records and information management system.

Qualifications:

  • Minimum five (5) subjects at CXC/GCE O' Level inclusive of English Language and Mathematics.
  • Certificate / Diploma in Business Administration or equivalent would be an asset
  • A minimum of two (2) years’ working experience in administration
Required Skills and Specialized Techniques:
  • Ability to communicate effectively both verbally and written
  • PC operating skills with excellent working knowledge of Microsoft Office Suite
  • Good time management skills
  • Good customer service skills
  • Excellent interpersonal skills

Key Responsibilities will include (but not limited to):
  • Provide assistance to the Senior Human Resource Officer (Leave and Benefits) when required.
  • Provide general typist support for the Human Resource Department as required.
  • Assist in the preparation of notices and other promotional correspondence.
  • Sorts and routes requested files to officers.
  • Sorts and classifies correspondence.
  • File correspondences and reports, ensuring that file jackets/folders are correctly coded/labeled.
  • Creates and maintains files within existing classification system.
  • Maintains confidentiality of records.
  • Manages movement of files in and out of the Document Centre.
  • Photocopies records for reference and other purposes.
  • Conducts records inventory.
  • Participates in the records retention and disposition.
  • Assists with maintaining PMAS databases.
REMUNERATION PACKAGE PER ANNUM:
Salary Scale: $ 1,711,060 – 2,301,186 per annum

Records Officer (St. Mary, Jamaica) - St. Mary Health Department

The North-East Regional Health Authority, a statutory body under the Ministry of Health and Wellness, with responsibility for the management and operation of public health services within the parishes of St. Ann, St. Mary, and Portland is seeking a dynamic, proactive and experienced individual to fill the position of RECORDS OFFICER 1 (PIDG/RIM 2) at the St. Mary Health Department.

Reporting to the Chief Public Health Inspector, the ideal candidate must meet the following minimum:
Qualifications:
  • Minimum five (5) subjects at CXC/GCE O' Level inclusive of English Language and Mathematics.
  • Certificate / Diploma in Business Administration or equivalent would be an asset
  • A minimum of two (2) years’ working experience in administration would be an asset.
Required Skills and Specialized Techniques:
  • Ability to communicate effectively both verbally and written
  • PC (computer) operating skills with excellent working knowledge of Microsoft Office Suite
  • Good time management skills
  • Good customer service skills
  • Excellent interpersonal skills

Key Responsibilities will include (but not limited to):
  • Sorting, typing and filing documents for the department
  • Documents burial site inspections and dispatch the information to the respective inspectors in the major
  • health districts
  • Updating information on the various databases
  • Assisting clients with completing the application forms
  • Providing information that the clients may require
  • Issuing of food handlers and health certificates to clients
  • Preparing health cards for barbers, hairdressers and beauty therapists

Records Officer (Clarendon, Jamaica) - Southern Regional Health Authority (SRHA)

The Southern Regional Health Authority (SRHA), a Statutory Body under the Ministry of Health & Wellness responsible for the management and operation of Public Health Services within the Parishes of Clarendon, Manchester and St. Elizabeth, invites applications from suitably qualified persons for the following position at Clarendon Health Department: RECORDS OFFICER (PIDG/RIM 2-Pay Band 4)- HR UNIT - (Salary range $1,550,136 – $2,084,761 per annum and any allowance(s) attached to the post)

Job Summary
Under the supervision of the Senior Human Resource Officer, the incumbent is responsible for assisting with human resource processes such as processing of service records, calculating and updating leave for staff within the hospital and assisting in maintaining personnel files and updating the HR Software.

Qualifications & Experience:
  • Five subjects at GCE O’Level/CXC General Proficiency level inclusive of English Language and Mathematics. plus
  • A minimum of two (2) years’ experience at a clerical level in Personnel Administration or Resource within a public sector organization.

Required Knowledge, Skills & Competencies Core:

Technical:

  • Sound knowledge of leave entitlements
  • Sound knowledge of methodology for leave calculation
Key responsibilities will include:
  • Receiving and vetting leave applications to ensure accuracy of completion.
  • Computing leave and completes relevant section of leave applications. Notify the relevant staff accordingly.
  • Computing leave and updates files on an ongoing basis
  • Preparing and maintaining service records.
  • Maintaining leave computation for all members of staff and records all other leave taken.
  • Undertaking data entry and scanning of documents and records.
  • Typing confidential documents and files documents relating to personnel matters; makes and/or handles enquiries; assists with investigations.
  • Providing assistance in submitting documentation to the Regional Office in a timely manner such as assumption of duties, resumption from sick, vacation, study and no pay leave, resignation letters, and other key human resources related matters.
  • Providing assistance in preparing and submitting documents to the Supervisor for processing of employees’ retirement benefits in a timely manner.
  • Maintaining a calendar of employee performance evaluations to be conducted, dispatches and collects required forms.
