ROLE AND FUNCTIONS OF JOB:

The incumbent shall have responsibility for providing secretarial and administrative services support to the Chief Internal Auditor and to assist in ensuring an effective and efficient Audit Division.

CORE DUTIES & RESPONSIBILITIES:
  • Maintain a log of all incoming and outgoing correspondence.
  • Assist with the preparation of compliance, monthly, quarterly and annual reports for submission to the Audit Committee.
  • Prepare letters, memoranda and other documentation for the Department.
  • Take notes or minutes of meetings and prepare for circulation.
  • Coordinate and maintain an effective filing system for the Department, in accordance with established procedures.
  • Liaise with managers and other department members with regards to submission of reports and other required documentation, to facilitate timely submission to the Audit Committee.
  • Contribute to the achievement of the Department’s objectives by completing assignments as needed.
  • Schedule meetings and appointments as directed by the CIA.
  • Perform any other related duties that may be assigned to achieve the Company’s goals and objectives.

SPECIAL CONDITIONS ASSOCIATED WITH JOB:
  • Required to work beyond normal working hours and on weekends (when required) in order to meet stipulated deadlines.
  • Normal office, retail and warehouse environment.
  • Intra-island travel to retail pharmacies.
  • Individual must have a reliable motor vehicle
QUALIFICATIONS & EXPERIENCE:
  • Diploma in Business Administration or equivalent qualifications
  • CPS or other equivalent professional secretarial qualification would be an asset
  • Ability to perform administrative and basic auditing functions for office, warehouse operations and pharmacies.
  • Minimum of three (3) years administrative and/or auditing experience preferably in a Pharmaceutical, Warehousing or Insurance environment.

The Western Regional Health Authority (a Statutory Body under the Ministry of Health & Wellness) is
currently seeking to employ Attendant Washers for the Regional Office. Under the direct supervision
of the Transport Manager, the Attendant (Washer) is primarily responsible for the cleaning and
sanitization of the vehicles in the fleet and assisting with other duties in the department. The incumbent
will also be expected to:
CORE FUNCTIONS:
  • Ensure that vehicles are properly parked on the washstand/wash area by the Driver before initiating the assessment for cleaning
  • Inspect the external and internal features of the vehicle for any damages before cleaning
  • Record or report any damages observed during the assessment to the Transport Manager immediately
  • Clean vehicles thoroughly based on the agreed schedule or as instructed by:
a. External
    • Using a hose or power wash to rinse off loose dirt and debris off the exterior of the vehicle
    • Using a soft mitt or sponge with soapy water to gently wash the vehicle’s surface from top to bottom including the tires. Refrain from using harsh brushes that can scratch the vehicle
    • Rinsing the vehicle thoroughly to remove all soap residue
    • Using a microfiber fabric to dry the vehicle from top to bottom
    • Using a suitable glass cleaner and clean cloth to clean windows and mirrors
    • Applying tire dressing as desired
b. Interior
    • Vacuuming the interior of the vehicle by removing dirt and debris from seats and carpets
    • Wiping the surfaces such as the dashboard, steering wheel, seats and gear stick with a suitable interior cleaning solution
    • Applying air freshener as instructed
  • Upon completion of cleaning, contact the Driver/Manager to remove the vehicle from the washstand/wash area
  • Return all cleaning supplies and equipment to their designated storage area
  • Assist with cleaning of the garage/ area as directed
  • Perform other duties that may be assigned by the Transport Manager

SPECIFIC KNOWLEDGE/SKILLS REQUIRED:

Key responsibilities will include but not limited to:
  • Assess, diagnose, classify, plans, implements, evaluates a nursing care plan for the individual patient/client using all relevant data.
  • Interprets and administers prescriptions, treatments, and monitors the patient’s action to determine the best possible outcomes.
  • Acts promptly and effectively in emergency situations
  • Performs nursing procedures that are appropriate to the needs, age and acuity level of the patient
  • Documents information promptly, clearly and completely and relates as necessary to the relevant persons.
  • Ensures proper collection, identification, storage and safe transportation of specimens to the laboratory with appropriate requisition forms.
  • Participate in quality assurance programmes of unit - Ensure environmental safety of patient care unit and sees that appropriate health and safety measures are in place.
  • Implements discharge/care plan including referral to appropriate agencies.
  • Supervises auxiliary and support staff, assists in the cost-effective usage of supplies and equipment.
  • Assumes in charge/administrative responsibility when delegated, especially afternoon and night duty.
  • Acts as liaison between patient/client relative and the physician in interpreting and conveying information.
  • Teaches patient/client and family health promotion, disease prevention, health maintenance
  • Participates in the clinical teaching and evaluation of nursing students, auxiliaries and other personnel
  • Participates in ward rounds, patient/client reports and staff conferences.
REMUNERATION PACKAGE PER ANNUM:
Salary Scale: $2,998,418 – $3,564,176 per annum along with any other allowance(s) attached to the post.

Customer Care Officer (GMG/AM 3)

The incumbent, overseen by the Senior Customer Care Officer, collects client information, provides direct assistance, and maintains client relations per service agreements and the Government of Jamaica Citizens Charter.


Job Purpose

Under the general supervision of the Senior Customer Care Officer the incumbent will be responsible for collecting and providing client related information and providing direct assistance to clients in accordance with established standards. The incumbent will facilitate a medium through which relations between internal and external clients are realized in keeping with service level agreement and the Government of Jamaica Citizens Charter.

Qualifications and Experience:

  • Diploma in Management Studies, Public Administration, Personnel Management, Business Administration or equivalent
  • At least two (2) years in Customer Service or performing related functions
  • Knowledge of Customer service principles and practices

Required Knowledge, Skills & Competencies

Key responsibilities will include:
  • Acts as patient advocate.
  • Influences customer service interaction by displaying and maintaining professionalism and courtesy to all.
  • Responds to clients’ needs, requests and concerns as is appropriate.
  • Identifies bottlenecks in the existing services where it prevents the patients/relatives from accessing the services in a timely manner.
  • Liaises with department supervisors to ensure that support services for patients are provided in an efficient and effective manner.
  • Ensures that patients who received service and are health insurance card holders are approached and directed to the cashiers for billing.
  • Ensures that patients with special needs are given the necessary support within established policies and sources.
  • Monitors waiting time and identify impediments and intervene where possible.
  • Assists ward patients in getting appointments and the retrieving of results for diagnostic test.
  • Assists ward patients in getting financial/relevant documentation from the hospital to conduct their external investigations.
  • Maintains a link between Accident and Emergency and the wards (Nurse in charge) with regards to the availability of beds.
  • Collects data on clients to facilitate workload/activity report and demand/utilization report to include
    • Number of clients who access service
    • Number of clients registered
    • Number of clients referred
    • Number of complaints received
  • Communicates relevant information; provide correct and adequate responses to questions and queries and direct clients to respective service areas in the Hospital.
  • Informs patients of the reasons or possible reasons for any delay in service.
  • Assists members of staff who need clarification on services and ensures compliance with the regulations.
  • Keeps a daily log of client complaints and follow through for a resolution where appropriate.
  • Disseminates questionnaires to solicit feedback on the services offered.
  • Provides the necessary advice to clients who present requests that conflict with established professional standards, regulations and policies.
  • Helps to develop and maintain action plans for improving customer service interactions that will facilitate a positive image of the Hospital.
  • Assists in analyzing and solving problems within scope of responsibility in the shortest possible time and refer those outside of scope of responsibility to the relevant managers.
  • Alerts the security guards to any unusual or suspected unsafe situations that may be observed.
  • Performs other related duties as directed in accordance with guidelines of the Hospital.
