Summary:
Under the general direction of the Regional NCD Coordinator, the Data Entry Clerk will support the parishes as well as the Regional Office in the collection and collation of robust NCD programme data and provides the necessary administrative support to the NCD team whilst ensuring that high levels of confidentiality, efficiency and productivity are maintained.

Required Qualification & Experience:

  • Associate Degree in Computer science / Information technology
  • A minimum of two (2) years working experience in the field would be an asset.

Specific Knowledge, Skills & Abilities:

  • Ability to communicate effectively both in written and oral format.
  • Ability to display good interpersonal skills.
  • Good time management skills.
  • The ability to work in a confidential environment

Key responsibilities will include but not limited:

  • Maintenance of NCD registers and data systems
  • Generation and updating of routine reports to the database on a timely basis.
  • Attending all training workshops that may be organized from time to time that are geared towards database and data entry improvement.

REMUNERATION PACKAGE PER ANNUM:

  • Salary Scale: $ 1,711,060 – 2,301,186 per annum.

Qualifications & Experience:

  • Minimum five (5) subjects at CSEC/GCE O' Level inclusive of English Language and Mathematics

  • Creating and continuously updating mental health data.
  • Preparing the necessary documentation for mental health educational and promotional activities.
  • Maintaining an efficient record management system.
  • Assisting in field investigations to verify and gather data for abstractions from the different facilities.
  • Updating electronic and manual files following outreach interventions/activities.
  • Assisting with the compilation of monthly, quarterly and annual reports.
  • Attending and taking minutes for relevant Mental Health meetings.
  • Collating and compiling relevant data, reports and other documents for monitoring of quality assurance and performance.

Health Records Technician (St. Ann, St. Mary & Portland - Jamaica) - NERHA

The North-East Regional Health Authority, a statutory body under the Ministry of Health and Wellness, with responsibility for the management and operation of public health services within the parishes of St. Ann, St. Mary, and Portland is seeking a dynamic, proactive and experienced individual to fill the position of Health Records Technician 1 (HTAC/HRT 2) for Hospitals and Health Departments in St. Ann, St. Mary and Portland.

Reporting to the Health Records Administrator, the ideal candidate must meet the following minimum:
Qualifications:
  • Associate Science Degree in Health Information Technology or Certificate in Health Records and Statistics Level 11
  • At least three (3) years full-time progressive experience in work related to the preparation and maintenance of health records and health statistics. One of which should be at supervisory level.
Required Skills and Specialized Techniques:
  • Ability to analyze statistical reports and make recommendations
  • Skills in Interpersonal Communication

  • Purging and disposal of patients’ records according to Ministry of Health (MOH) standards

  • Responsible for educating other members of the health team on the importance of health records, with a clear definition of health records duties

JOB PURPOSE

Under the direction of the Administrator, the incumbent is responsible for imputing data in the Laboratory Information System (DISA) and the maintenance of an effective collating of patients medical reports on a daily basis.

KEY RESPONSIBILITY AREAS
  • Receive incoming calls to the department and deal with them appropriately, through broad knowledge of the organization’s operations
  • Ensures that the inventory log is maintained
  • Entering information into the Laboratory Information System (LIS)
  • Package laboratory reports and dispatches to patients, hospitals and health centres island wide
  • Attends to client’s queries
  • Affix barcode to correct requisition forms

TECHNICAL

SCOPE OF WORK / BACKGROUND
Jamaica has an estimated prevalence of 1.6% among the general population. Based on modeled
estimates and case based surveillance data, it is estimated that 29,000 persons are currently living
with HIV in Jamaica. Approximately 84% of the estimated number is aware of their status. This
is followed by a large gap in the continuum of care with 43% of those diagnosed on ARVs and
55% of those on treatment being virally suppressed.

RESPONSIBLE FOR:
- The timely collection of medical data and statistics
- Ensuring that all institution(s) are represented by data received
- Collation of data into summary format for use at the parish /region
- Utilize the data collection tools and ensure that data is of the highest quality
- Accurate and timely update of patient files unto data base within 24 hours
- Participate in workshops and Quality Improvement Activities
- Provide monthly status updates on files maintained

SPECIFIC KNOWLEDGE REQUIRED
- working knowledge of spreadsheets
- working knowledge of statistical calculation related to health information

QUALIFICATIONS AND EXPERIENCE
- Good typing skills (at least 30 words per minute)

Roles & Responsibilities:

Summary:

Under the general direction of the Regional HIV Coordinator, the Data Entry Clerk will support the parishes as well as the Regional Office in ensuring a high level of confidentiality is maintained and the highest level of efficiency and productivity on the database.
Required Qualification & Experience:

  • Five (5) CXC/GCE/CSEC subjects inclusive of English Language and Mathematics.

Organizational Setting

The national consultancy Office Assistant performs a large variety of routine administrative transactions and office support functions contributing to the smooth and efficient running of the work unit.

Reporting Lines

Under the overall supervision of the FAO Representative in Jamaica, Belize and The Bahamas and the direct supervision of the Assistant FAOR- Programme, The Office Assistant operates independently and takes decisions on work priorities and exercises initiative for dealing with cases without precedents. He/she acts independently in routine matters. Supervision received is focused on the quality of the work performed and provides for on- the-job learning.

Technical Focus

The Office Assistant usually interacts with a wide variety of colleagues within the direct work unit, Sub- regional and Regional offices and with immediate clients within the Organization, providing routine administrative and office support services. The incumbent will also offer management support services, and providing procedural guidance and information on FAO conformity requirement.
 
Tasks and responsibilities
  • Screen requests for appointments with supervisor; maintain supervisor's calendar; confirm mutually convenient schedules and arrange appointments; receive visitors; place and screen telephone calls; respond to queries and correspondence, often of a sensitive, confidential or technical nature;
  • Provide office, administrative and logistics support to meetings, committees, conferences, etc.;
  • Review, record, distribute and process incoming mail and correspondence; follow-up on pending actions; prepare draft responses to a wide range of correspondence and other communications, often requiring knowledge of technical terminologies and/or detailed office procedures; carry out quality control functions for outgoing documents; proofread texts for adherence to diplomacy, format, grammar, punctuation, style and established standards;
  • Respond or draft responses to standard/ routine correspondence and other communications; use word processing package to produce a wide variety of large, complex documents and reports;
  • Initiate general administrative tasks in the computerized financial / travel / human resources systems;
  • Make travel and hotel arrangements and prepare travel authorizations/claims for staff as required;
  • Provide assistance in the administrative processing of vacancy announcements and consultants' contracts;
  • Research, compile and organize information and reference materials from various sources for reports; create spreadsheets and presentations; manage and update databases for mailing lists and other information; and maintain electronic and paper files;
  • Provide assistance in the operational processing of Program Unit, especially on Procurement process.
  • Actively participate in the Procurement Cycle as integral part of it.
  • Perform other duties as required.

Minimum Requirements

  • Post-Secondary and/and Undergraduate Level Education in Business Administration or related administrative fields

  • National of Jamaica or resident in the country with a regular work permit.
