Telephone Operator (Kingston, Jamaica) - Kingston Public Hospital

 


JOB PURPOSE:
Ensure smooth functioning of hospital switchboard communications. Answer and route correctly all incoming and outgoing phone calls. Assist patients, take messages and log calls for physicians, staff.

DUTIES & RESPONSIBILITIES:

Telephone operators typically perform combinations of some or all the following tasks:

  • Operate one or more positions on electro mechanical or electronic/digital telephone switchboard.
  • Place and receive regular and long-distance calls.
  • Provide telephone information including but not limited to: Telephone number, extensions and location of individual and organization.
  • Maintain records of long-distance calls and the time and charges incurred.
  • Act as one of the official point of contacts for organization and is responsible for creating in the caller a favourable impression of the organization.
  • Provide alternative routing for calls that must go through.
  • Maintain constant surveillance over switchboard equipment.
  • Operate associated communication equipment installed as part of the switchboard such as mobile radio units and voice paging systems.

  • Indirectly: Telecommunication Supervisor
LAISE WITH:
  • Internally: Staff/Physician/patient / visitors
  • Externally N/A

PERFORMANCE STANDARDS
This job is satisfactorily performance when:

  • Operation is effectively carried out according to standards
  • Timely responses to correspondence and verbal inquiries are affected
  • Confidentiality is preserved
  • Reports are submitted according to the stipulated deadlines.
  • Administrative functions of the operations Officer are effectively carried out.
EDUCATIONAL REQUIREMENTS:
Qualifications and Experience:
  • Three (3) CXC passes.
  • Training in Customer Service would be an asset or any equivalent combination of qualification and experience.
  • Certificate in Customer Service & Telephone Operator
REQUIRED SKILLS AND SPECIALIZED TECHNIQUES:
  • Excellent communication and people skills
  • Problem -solving skills
  • Must maintain confidentiality
  • The ability to remain calm, patient and courteous
